Responsibilities

  • Responsible for overseeing the day-to-day operations of client account servicing and operational support, while ensuring policies and procedures are well maintained and consistently followed.

  • Core responsibilities include managing client account onboarding and offboarding, trade operations, daily reconciliation of accounts, client reporting, and coordination of compliance-related activities. Ensure operational accuracy, timeliness, and adherence to regulatory and internal standards across all processes.

  • Work closely with COO to implement initiatives, special projects, and/or research needs as they relate to the department/firm.

  • Direct and coordinate daily activities of the Operations department to ensure accurate and timely portfolio data, transactions, and account information is executed and ready for access across the firm.

  • Monitor and manage delivery of critical operational functions such as security pricing and data.

  • Trade settlement & reconciliation of existing accounts (transactions and positions using custodial statements).

  • New custodian account setup, funding, and system readiness for accessing our investment strategies.

  • Monitor, respond and process corporate actions, proxy voting setup, and class action settlements.

  • Client reporting production.

  • Optimize inefficient areas and improve workflow processes.

  • Assist and guide Portfolio Administrators/Support Administrators as needed (Ex/ gifting, operational errors/corrections, new relationship guidance, etc.).

  • Develop and provide clarity and guidance on department vision and strategy and ensure they tie into the firm’s goals. Articulate clear and measurable annual and longer-term goals to ensure alignment in team focus and prioritization.

  • Work closely with Compliance and Trading departments.

  • Review and resolve time sensitive inquiries from custodians, brokers, clients and other interested parties, to reduce risk and facilitate communication.

  • Ensure best practices are in compliance with regulatory standards (GIPS, SEC).

  • Review and troubleshoot account performance and other related issues.

  • Stay current with and ensure department awareness of industry regulation and related-industry trends.

  • Stay attuned to and advocate best practices.

  • Lead ongoing review and update of operational and audit policies, procedures, and protocols to mitigate firm risk and ensure compliance with client, industry and company requirements.

  • Promote a healthy, positive firm and compliance culture and ensure the department operates according to company’s mission, vision, and values. Supervise staff performance and development through training, evaluations, and mentoring to support team growth.

 

Required Qualifications, Skills/Experience

  • Required: Bachelor’s degree (or foreign degree equivalent) in business, management, finance, or accounting and progressive experience including:
    • 7 years of financial services industry experience with demonstrable history of management, including comprehensive technical and risk management within an operations team
    • 7 years of experience with prioritizing and multitasking under deadlines while maintaining accuracy and poise
    • 7 years of problem solving and decision-making experience
    • 7 years of experience with interpersonal communications and collaborating effectively in a dynamic small team environment
    • 7 years of experience in operational procedures related to in-house portfolio accounting system and associated third party providers
    • 7 years of technical experience with Microsoft Office
    • 6 years of experience of hands-on experience in portfolio accounting
    • 5 years of experience working with/on client portfolio accounts (e.g. high-net-worth and institutional clients)
    • 5 years of experience with leading and executing large projects
    • 5 years of experience with communicating and educating staff to comply with industry and technology changes
    • 4 years of experience with leading, inspiring, and mentoring employees to live up to their potential and optimize their productivity in a collaborative work environment.
  • Travel: Limited – on average 2 times per year to attend domestic conferences.
